Author registration information
Important information & requirements for authors:
- Authors must register by December 18, 2025.
- Each conference contribution must be covered by ONE individual author registration.
- Additional co-authors can register at the regular conference rate (see below).
- Authors with multiple papers can register additional papers at a discounted rate.
- For each contribution, authors are allowed to purchase up to two extra pages.

Authors who cannot attend the conference due to visa or other travel restrictions can register with a 10,000 JPY discount. Be aware that AIxVR 2026 is a 'physical first' event, meaning that if registering as remote author, you will only be able to present your paper remotely and have access to the conference proceedings. Yet, you will not be able to parttake remotely in other parts of the conference.
Included in the registration fee:
- Publication of your accepted contribution in the proceedings and IEEE Xplore (if and only if it is presented at the conference) pending a positive verification of IEEE.
- Free access to online proceedings during the conference (including download option)
- Free access to all on-site conference events including workshops and social events (reception/dinner)
- On-site coffee / lunch breaks
Authors registered with the 10,000 JPY discount for remote attendance will not have acces to points 3 and 4 above.
Cancellation policy:
For authors, all registrations are final. If you need to change your status from on-site to remote or vice versa after registering, please contact registration chair Parinya Punpongsanon, who will be able to assist you. Be aware that changes will no longer be possible after January 5, 2026.
Regular (non-author) registration information
Important information:
- Each conference contribution must be covered by ONE individual author registration (see above).
- Regular registrations are for attendees without a paper or co-authors of papers that are already covered by another co-authors registration.
- Notice the early bird registration deadline. Prices increase after December 18, 2025.

AIxVR is a 'physical first' event, which is why there is no option for remote participation.

Cancellation policy:
Registrations can be cancelled up until January 5, 2026, if and only if an invitation letter for visa purposes has not been issued yet. Please contact registration chair Parinya Punpongsanon, who will be able to assist you. Notice that a small administration fee may apply.
